Event Request Process

  • Discussion with or incoming email from client to ADNEC Client Liaison Department or External Services with an initial enquiry for the event to be held either at ADNEC or an offsite venue.
  • ADNEC will forward a Profile Request Form for either an external licence or ADNEC hosted event.
  • Upon receipt of a fully completed Profile Request Form, ADNEC will analyse the profile.

The criteria utilised in ascertaining whether to accept or decline an event is as follows:

Events staged at ADNEC

  • Focus of the event (e.g. what market)
  • Breakdown of industries re exhibitors (e.g. what sectors of the market)
  • Type of exhibits (e.g. specific products)
  • Conference content
  • Demographics of visitors and/or delegates
  • Geographical breakdown – exhibitors and visitors
  • Trade or consumer – if trade, where does event sit in “route to market”
  • Closed audience or not
  • Dateline
  • Integrity of organiser within specific market sector
  • Organiser track record & ability to stage a successful event – and ability to pay
  • Space availability in terms of event requirements
  • Can Abu Dhabi's hotel bed stock cope with exhibitor/visitor/delegate numbers either in totality or on the specific dateline
  • Percentage overlap of each of the above is then analysed against existing event portfolio (staged at ADNEC) and ongoing negotiations.  If the analysis concludes that the existing event would be adversely affected by agreeing to the request, then the request is declined.  If however, the outcome is positive, then the event is approved.

Event staged offsite

  • Focus of the event (e.g. what market)
  • Breakdown of industries re exhibitors (e.g. what sectors of the market)
  • Type of exhibits (e.g. specific products)
  • Conference content
  • Demographics of visitors and/or delegates
  • Geographical breakdown – exhibitors, visitors and/or delegates
  • Trade or consumer – if trade, where does event sit in “route to market”
  • Closed audience or not
  • Dateline
  • Organiser track record & ability to stage a successful event – and ability to pay
  • Can Abu Dhabis hotel bed stock cope with exhibitor/visitor/delegate numbers either in totality or on the specific dateline
  • Space availability in terms of event requirements
  • Percentage overlap of each of the above with existing portfolio staged in Abu Dhabi
  • Percentage overlap of each of the above is then analysed against existing event portfolio (staged in Abu Dhabi) and ongoing negotiations. If the analysis concludes that the existing event would be adversely affected by agreeing to the request, then the request is declined. If however, the outcome is positive, then the event is approved.

This is on the provision that the organiser of the external event adheres to the following:

Exhibitions at a hotel

  • Organiser must provide : valid licence from Abu Dhabi or Al Ain Municipality; valid licence from Chamber of Commerce and Industry; Brief note about organiser; Application for Event Organisation in the Emirate of Abu Dhabi; Letter of commitment to abide by all event rules and regulations which are set by ADNEC.
  • Once the exhibition is approved, the organiser must then provide a bank guarantee of AED 100,000 proof of insurance to the value of AED 3 million and pay a Licence Fee in line with prevailing rates.

Exhibitions at Al Ain or Baniyas

  • Organiser must provide: valid licence from Abu Dhabi or Al Ain Municipality; valid licence from Chamber of Commerce and Industry; Brief note about organiser; Application for Event Organisation in the Emirate of Abu Dhabi; Letter of commitment to abide by all event rules and regulations which are set by ADNEC.
  • Once the exhibition is approved, the organiser must then provide a bank guarantee of AED 100,000 and proof of insurance to the value of AED 10 million and pay a Licence Fee in line with prevailing rates.

Conferences at a hotel

Organiser must provide an Application for Event Organisation in the Emirate of Abu Dhabi and pay a Licence Fee in line with prevailing rates.

Formal letter of approval or decline will be sent to the client.
